要如何寫出一則專業的英文商業 email？
信件裡該怎麼稱呼對方？該放什麼重點？
又該如何有禮貌地結束信件？

本篇文章要介紹給大家的 email 類型是屬於比較正式的商業信件（business email），通常會用於聯絡別的公司或比較不熟的同事，而跟常合作、較熟識的同事可能用詞就會比較不正式（informal），因此不在此類信件範疇中。在寫英文信件的時候最重要的就是語氣和文法，尤其是跟 native speaker 溝通的時候特別要注意文法。
接著就讓我們來看看一封專業的商業 email 需要具備的實際內容吧！

1. Greeting 問候語
Business email 的開頭都需要一個問候語（greeting），最常見的用法是用 Dear 在後面接上收信人的名字，以下是一些例子：
- Dear John,
- Dear Mr. John Smith,
- Dear Mr. Smith,
加上稱謂的用法比較正式，通常會用於寄信給長輩或客戶，而如果是寄給同事或是別的公司的合作夥伴，就直接寫名字 (first name) 就可以了。
再來提供給大家幾個商業信件中常見的用法，這些用語在你不確定收件人是誰的時候很好用。公司收到這種信通常都知道要轉寄 （forward）給相關人員來處理。
- To Whom It May Concern,
- Dear Sir or Madam,
另外，要記得這些 greeting 後面都需要加一個逗號（comma）然後空一行（empty line）才能開始撰寫信的內容！
2. Purpose 目的
在進入信件內文之前我們通常會先告知收信人這封信件的重點或目的，可以運用的英文句型如下：
- I am writing to inquire … 我寫這封信想詢問 …
- I am writing in reference to … 我寫這封信是關於 …
在回覆信件的時候，可以這樣說：
- Thank you for reaching out to us regarding … 感謝您主動聯絡我們關於 …
這邊的 in reference to 還有 regarding 都是是「有關」或「關於」的意思，它們的用法和 about 很接近，差別是 about 比較不正式，是比較口語的用法。
口語：I’m talking about the meeting scheduled for next week. 我在說的事情是和預計下禮拜召開的會議有關。
正式：I am writing in reference to the meeting scheduled for next week. 我寫此封信的目的是和預計下禮拜召開的會議有關。
正式：I am writing to you regarding the possibility of scheduling a meeting for next week. 我寫此封信的目的是和預計下禮拜召開的會議有關。
大家有沒有注意到 in reference to 的用法跟 regarding 有一點點不同？通常 in reference to 用於「說明已經跟對方提過的事」，regarding 的用法比較廣泛。
3. Content 內文
再來就是信件的內文了，先跟大家提醒一些小技巧，寫商業信件的時候內文要簡單明瞭 (clear and concise)，相信大家每天也收到很多 email，不想讀冗長沒有重點的信吧！
記得也要注意正式信件裡我們不會把一個句子全部大寫，否則聽起來會像在吶喊 (笑)，不過我們可以用粗體讓重點句子比較明顯。

Please review the attached documents thoroughly. (O)
請仔細確認附件內容。
跟附件相關的用法與例句：
- I have attached sth. for your review.
I have attached the previously mentioned documents for your review. 上述資料已於信末夾帶檔案內附上供您參考。
- Please see the attached documents for sth.
Please see the attached documents for a quotation of the requested services. 請參閱附加檔案內之服務相關報價。

4. Closing 結尾
信件內文的最後一部分通常會感謝收信人或解釋接下來要做什麼。
If you have any further questions or concerns, please don’t hesitate to contact me. (若您有任何問題或疑慮，請不吝與我聯繫。)
Thank you for your time and consideration. (感謝您的寶貴時間。)
I look forward to hearing from you. (我很期待能夠收到您的回覆。)
5. Sign-off and signature block 結尾敬語與簽名檔
再來就是信件的結尾，會有 sign-off 和 signature block，sign-off 要注意只有第一個字需要大寫且後面要加上逗點，下面提供一些最常看到的 sign-off：
- Sincerely,
- Yours sincerely,
- Respectfully,
- Best regards,
在北美其實比較少人會用 Best regards，因為它不算正式用法，因此大多數的人通常會用 Sincerely，它是信件中最正式且最安全的用法！想學習更多 sign-off 的寫法可以參考這篇文章：

Sign-off 後面要接簽名檔（signature block / line），這個項目包括了你的姓名（full name）、職稱（title）、公司（company）、聯絡資訊（contact information）等，如下範例所示：

最後我們來看看一份完整的商業 email 會長什麼樣子：
Dear Ms. Jones,
Thank you for reaching out to us regarding price quotations for hardwood flooring. Please see the attached document for a preliminary quotation. These quotes will vary greatly depending on your choice of board width, texture, color, finish etc. Once our technicians assess the space you wish to install new flooring in, we will be able to provide you with a more accurate quote. I have also attached photos of several of the wood samples we currently have in stock.
If you have any further questions or concerns, please don’t hesitate to contact me. Please let me know if you decide to move forward with the assessment, and I look forward to hearing from you.
